Membership Services Assistant

Overview

The Membership Services Assistant reports to the Manager, Membership Services and is responsible for various aspects of membership including allied staff application and renewal processing, information exchange with members and the component societies, department file maintenance, and profile updates. This position assists in the preparation and distribution of dues statements, the member verification process and the annual membership directory. The Membership Services Assistant also serves as the primary contact for allied staff membership inquiries and responds to general member inquiries as necessary.

The Membership Services Assistant performs other projects as assigned by the Manager, Membership Services.

Qualifications

  • Strong technology background preferred, including experience with Microsoft Office Suite applications and some exposure to database applications
  • Excellent organizational skills
  • Data-entry experience
  • Excellent customer service skills
  • 1-3 years relevant exp in membership or customer service
  • Prior Association experience a plus

Detailed Description of Key Accountabilities

  • Allied staff processing
  • Responsible for all Allied Staff application processing, including filing maintenance
  • Distribution of all election confirmation notifications to allied staff members
  • Assistance with preparation of materials for allied staff recruitment activities
  • Departmental file maintenance
  • Responsible for file maintenance of all membership records
  • Archiving of all past/current committee and task force reports to the document management system
  • Archiving of membership records to document management system (as directed by Membership Manager)
  • OAE certification/recertification tracking
  • Update membership database following receipt of information from component societies
  • Assist in preparing status update reports for distribution to component societies
  • Membership profile updating
  • Receives list of bounced e-mail messages from web administrator after every broadcast e-mail and follows-up to obtain correct information
  • Receives returned mail and updates membership record with new contact information; researches information online or through state society contacts when not provided by USPS
  • Assists with membership directory verification processing
  • Membership retention activities
  • Works closely with members relocating to a different state and with the appropriate component society to ensure state society membership is obtained within two years, as required
  • Works closely with federal service members that enter private practice and with the appropriate component society to ensure state society membership is obtained
  • Contacts members that have been dropped from their component society to reinforce the reciprocal membership requirement
  • General Responsibilities
  • Communicates frequently with component societies to identify changes in status for applicants, candidates, and provisional members to ensure timely processing and subsequent reporting to the House of Delegates
  • Assists with all membership and finance-related mailing campaigns (dues statements, verification letters, registration packets, etc.)
  • Provides back-up support to receptionist/switchboard, as needed
  • Provides assistance to Finance department, as needed

Continuing Education Staff Associate

Overview

The Continuing Education Staff Associate reports to the Continuing Education Manager, and is responsible for assistance in planning, developing and conducting scientific content for the Annual Meeting, Dental Implant Conference, and any other clinically focused educational program sponsored by the Association, including those held in conjunction with other associations. As part of this responsibility, the Continuing Education Staff Associate assists in monitoring ongoing costs accordingly. The Continuing Education Staff Associate also helps identify opportunities for new programs to increase the AAOMS' level of service to members. The Staff Associate is responsible for ensuring that all AAOMS educational programs and related materials are in compliance with ACCME Essentials and Standards and ADA CERP Guidelines. The Staff Associate provides support to the Committee on Continuing Education and Professional Development, and their subcommittees.

As needed, the Continuing Education Staff Associate may represent educational programs on cross-functional teams.

Qualifications

  • Bachelors Degree or equivalent relevant professional experience required
  • Word Processing, spreadsheet, database and related computer application skills
  • Adult education program design and development experience
  • Continuing medical or dental education experience preferred

Key Accountabilities

  • Provide staff support to the Committee on Continuing Education and Professional Development and related subcommittees
  • Assist with planning, development, and implementing all ongoing scientific and continuing education programs
  • Assist in the development and coordination of new scientific programs
  • Coordinate and manage the administration of the Corporate Support program
  • Serve as the Division of Continuing Education and Meetings liaison with other divisions, staff task forces, etc. such as the AAOMS Today Editorial Board, IT task force, and report back to the Division as required
  • Coordinate proofing of various publications for department (Advanced/Final Programs, Corporate Support Brochure, etc.)
  • Respond to member inquiries via phone and email and maintain a member inquiry tracking log

Detailed Description of Key Accountabilities

  • Provide staff support to related committees noted below
    • Participate in meetings and implementation of tasks as defined by the Committee on Continuing Education and Professional Development and their related subcommittees
    • Coordinate and assist clinical interest groups as it relates to educational programming
    • Work with additional special committees, subcommittees and task forces as required
    • Assist in preparation of agendas, minutes, reports, and manuals
    • Prepare monthly newsletters containing project status update, upcoming events and outstanding action items for distribution to members of CCEPD
  • Assist with planning, developing, and implementation all ongoing scientific and continuing education programs, utilizing a speaker management database system.
    • Schedule education programs for AAOMS scientific/clinical educational programs, including the Annual Meeting, Dental Implant Conference, and other clinical stand-alone and online programs
    • Develop promotional materials and any publications related to these programs, including preliminary and final programs
    • Coordinate and manage the Annual Meeting clinical sessions from development to post activity evaluation
    • Coordinate with the appropriate AAOMS staff all Annual Meeting preconference programs from development to post activity evaluation
    • Coordinate, manage and implement the speaker and supporting material aspects of the Dental Implant Conference and related pre-conference courses
    • Manage the oral and poster abstract process to include, collection of applications for review by the CCEPD, organization and format for publication on the JOMS web site, coordination and management for presentation at the Annual Meeting
    • Contact and confirm all speakers for educational programs
    • Coordinate with logistics staff to ensure proper room and audio-visual set-up for educational sessions as well as any onsite logistics needs
    • Process speaker reimbursements while following AAOMS policies, coordinate presentation requirements (including audio-visual equipment needs), handout materials, and letters/certificates
    • Assist the CE Manager as needed to edit/prepare educational session course objectives for post-meeting evaluation
    • Coordinate with designated audio-visual taping company to tape selected educational sessions and facilitate post-meeting marketing
    • Compile evaluations received for each educational activity and provide results to speakers, appropriate committees and staff
    • Provide initial annual meeting and dental implant conference program content for dissemination on the AAOMS web site, print materials and update information regularly with the communications department staff
    • Utilization of the electronic speaker and meeting management system to coordinate clinical speaker correspondence, required paperwork and session planning
    • Generate the necessary reports for Committee on Continuing Education and Professional Development, Board of Trustees & AAOMS Publications as needed
    • Facilitate CE transcripts as necessary for members
  • Assist in the development and coordination of new scientific programs
    • Investigate new technology to allow for interactive learning and coordinate faculty/vendor relationships
    • Coordinate topic search for online learning
    • Track trends and regulations as they pertain to continuing dental and medical education
  • Serve as the Division of Continuing Education and Meetings liaison with other divisions, staff task forces, etc. such as the AAOMS Today Editorial Board, IT task force, and report back to the Division as necessary.
    • Serve as division representative to AAOMS web committee, IT Task force and AAOMS Editorial Board as needed
    • Provide updates and relevant information to continuing education and speaker's web pages as needed
    • Meet as needed with the appropriate staff to facilitate the speaker management database
  • Handle all corporate support items
    • Create and Maintain Corporate Support Data
    • Draft Letters of Agreement
    • Corresponds with Corporate Supporter
    • Collection of company logos and artwork
    • Maintain Executive Director Corporate Lists
    • Proof Advance and Final Corporate Support Brochure (hard copy/online) Program
    • Responsible for maintaining compliance with ACCME and ADA CERP current guidelines as it relates to commercial support
    • Provide updates to the AAOMS Corporate Support Team
    • Provide initial annual meeting and dental implant conference program content for dissemination on the AAOMS web site, print materials and update information regularly with the communications department staff
